Book all travel through UNSW Travel

The service offers students and staff immediate support during a crisis and when plans change.

All UNSW-related travel should be booked through the UNSW Travel system.

There are many advantages to booking travel through the service. Travel requests are automatically captured in reporting used by the UNSW Travel and Risk teams to locate students and staff who may be impacted by crisis events.

All bookings through the service are also automatically synchronised to International SOS, the University’s travel emergency assistance provider. Students and staff travelling on bookings made through UNSW Travel do not need to manually add travel details into International SOS.

“Booking through the UNSW Travel system enables the University to react quickly to identify students and staff who are travelling and may be in an area impacted by a crisis or conflict,” says David Golding, UNSW Travel Manager.

“Our travel management partner can then offer immediate support to anyone who needs help returning home or changing their travel plans.”

The Pre-Trip Approve tool also has a direct integration with DFAT’s Smartraveller to automatically check the risk ratings of the countries and regions that students and staff enter onto their trip request. This gives useful additional information to the traveller and helps facilitate the proper approval and risk management process for travel to any high-risk rated locations.

Immediate support during a crisis

Our Travel Management Company (TMC) are available 24 hours a day, 7 days a week, every day of the year. UNSW travellers impacted by a crisis can call for urgent support to manage their travel.

The service has recently helped many University students and staff travelling overseas to arrange urgent travel back to Australia. Consultants have found unusual routes for people returning home from Europe and the Middle East. At the peak, on Sunday 28 February, our TMC received 499 calls and over 100 emails for urgent help and support.

Local support, discounts and a reduced administrative burden

By booking through the TMC, UNSW students and staff are assisted by local travel consultants based in Sydney, with an after-hours support team based in Brisbane providing an around-the-clock service. You can contact the team by phone or email to get quotes and make, change or cancel bookings.

The service also offers UNSW discounted airfares, hotel rates and car hire. The TMC has access to the widest range of air and land travel services available, so UNSW travellers and bookers don’t need to waste time searching for the cheapest fares and rates.

Preferred TMC partners give UNSW students and staff exclusive discounted rates of up to 20% for air travel, 50% for hotels and 20% for car and ground transport for University travel.

Travel booked through UNSW Travel is automatically journalled to the UNSW Finance System (NSF), helping to reduce the administrative burden by taking care of expense reconciliation.
