Sending information safely to external recipients

Data Loss

Help us keep UNSW information secure by following these guidelines.

UNSW is committed to maintaining the security, integrity and appropriate management of our data, information and records.

Sending personal information to people or organisations outside UNSW is a common cause of data breach. So, it’s important to know how to send personal or other sensitive information to external recipients safely.

Best practice for secure sharing

Share files using an access-restricted link from a secure SharePoint or Teams folder, rather than attaching documents or other files to your email. By pasting the link in the body of your email, you can ensure that only the intended recipient can access the file.

Visit the Data Governance SharePoint site for FAQs about sharing information. The page also includes instructions for creating a secure link in SharePoint and adding it to messages sent from Outlook or Teams.

For research purposes, only share data in line with your project's ethics approval and any contractual or other agreed data sharing arrangements.

Your responsibility and our support

Read UNSW’s new Information Governance Policy and our Instruction Manual to better understand your responsibilities.

The UNSW Data & Information Governance Office is planning an outreach program to high-volume sharers of information.
